In brief: CRM manages customer relationships; ERP connects operations
A CRM is generally centred on leads, customer records, sales conversations and follow-up. ERP software generally connects operational records and processes such as purchasing, inventory, orders, finance-related workflows or production. The exact boundary varies by product: many systems overlap, and some small businesses can handle their needs with a well-chosen existing tool rather than custom software.
Choose based on the workflow that is failing or taking too much effort—not on which acronym sounds more complete. Map the people, records and handoffs involved before comparing products or planning a custom build.
For example, a business may receive enquiries after customers discover it through local search. Local visibility helps people find and evaluate the business; a CRM workflow can help the team assign and follow up those enquiries. These solve different parts of the customer journey.
Read the local visibility checklistWhich problem are you trying to solve?
| If this is the main problem… | Start by exploring… | Questions to ask |
|---|---|---|
| Enquiries get lost, follow-ups are inconsistent or customer history is scattered. | CRM workflow | Who owns a lead? What stages, reminders and customer details are actually needed? |
| Stock, orders, purchasing or operational records are hard to reconcile. | ERP or operations system | Which source is authoritative? Who updates each record, and which reports are needed? |
| Staff copy the same information between disconnected tools. | Integration or process improvement | Can an existing tool connect safely, or is a small workflow change enough? |
| Several teams need shared records, permissions and reporting. | A scoped business system assessment | What is the smallest useful first release, and what must remain in the current system? |
A small-business example
Imagine a distributor that records enquiries in chat messages, keeps customer details in a spreadsheet and separately tracks stock and orders. If the immediate problem is forgotten sales follow-up, first map a CRM-style enquiry workflow. If the costly confusion is stock availability and order status, investigate the operations records and handoffs first. The business may eventually connect both areas, but it does not need to begin by buying or building a large all-in-one platform.
This is an illustrative example, not a Brown Pixels customer result. A real assessment would confirm the existing software, data quality, user permissions, reporting needs and the cost of changing the process.
Before selecting or building a system
- Write down the current process from the first request or transaction to completion.
- Identify the repeated work, missed handoffs, duplicate records and decisions that need better information.
- List users and permissions: who creates, edits, approves and reports on each record?
- Check the tools already in use, data export options, integration access and any contract constraints.
- Define a small first scope and how users will verify that it works for their daily tasks.
- Plan data migration, training, backups, support and a safe way to correct mistakes.
A custom ERP or CRM is not automatically better than an existing product. Custom development can make sense when a genuinely important workflow is unsupported and the business can maintain the resulting system. Compare total ownership costs and operational risks, not just the initial build.
Where automation and messaging fit
Automation can connect a defined event to a notification, task or record update when the systems expose suitable access and the workflow is safe to automate. A WhatsApp link that lets a customer start an enquiry is not the same as an automated WhatsApp Business integration. Confirm account requirements, platform permissions, message rules, review steps and ongoing fees before treating messaging automation as part of a project.
Begin with the process and the records it uses; add automation only where it reduces a real, measurable friction without removing necessary human checks.
